Per Property Crew Notes Sheet
A one line per property worksheet that captures the handful of things every crew member needs to know at the curb: access, hazards, mowing height and clippings, trim and edge preferences, cadence, and when the note was last checked.
Reviewed for 2026, updated September 8, 2026.
Every property has quirks, and in a one crew company they live in the owner's head. By the time there are three crews and a seasonal hire who started last week, that knowledge is scattered across text threads and memory, and the new person finds the sprinkler head the hard way. This sheet is the fix in its simplest form. One row per property, the same short fields for every row, most important item first, and a date so the crew knows whether what they are reading is still true. The example rows show the kind of entry that actually gets read on a phone at the curb. Replace them with your own properties and keep each cell short enough to fit on one screen.
Use it as a paper backup, as the import sheet for your scheduling software, or as the standard your crews follow when they add notes on the phone. Our article on keeping per property notes useful for every crew member explains why structure and restraint matter more than detail, and the piece on what a crew should do when a property has changed since the last visit covers how to keep the last column honest. If you are still deciding which properties belong on which route day, the Lawn Crew Windshield Time Cost Calculator in our Tools section will show what a scattered day is costing before you fill in the cadence column.
